Scope Data we handle How we use data Sharing Your choices Security Children Contact

This policy applies to the public Astricx website and to Zync services that link to it. A specific product notice or consent screen may provide additional information for a particular feature.

1. Scope and who we are

Astricx (“Astricx”, “we”, “us”, or “our”) designs and operates digital products and connected services, including Zync. This Privacy Policy explains our practices when you visit astricx.com, create or use a Zync account, participate in a sports community, contact us, or otherwise use a service that links to this policy (collectively, the “Services”).

For questions or requests about personal data, contact us using the details in section 12.

2. Personal data we handle

The data we handle depends on the Services and features you use.

Information you provide

  • Account and profile data: name, email address, mobile number or username, date of birth, country, profile image, authentication information, and preferences.
  • Community data: circle memberships, roles, invitations, attendance, events, facilities, bookings, teams, fixtures, results, and related activity.
  • Content and communications: messages, polls, responses, uploads, support requests, and other material you choose to submit.
  • Shared-expense records: contributions, collections, obligations, balances, and settlements recorded within a circle. Zync records entries only and does not move, hold, or process money. Avoid entering bank, card, or financial credentials.
  • Store purchase and access records: where paid features are offered, product and transaction identifiers, purchase dates, amount and currency, access periods, verification and refund status, and the associated account or circle. We use these records to provide and manage the access you purchased. Apple or Google handles app-store checkout; Astricx does not receive your complete payment-card details or app-store account password.

Information generated when you use the Services

  • Device and technical data: IP address, device and browser type, operating system, app version, identifiers, network status, and language or timezone settings.
  • Usage and diagnostic data: feature interactions, timestamps, error reports, performance information, security events, and audit records.
  • Session and authentication data: tokens and related information needed to keep accounts secure and signed in.

Public website

At the effective date of this policy, astricx.com does not provide account forms and does not use advertising or analytics cookies. Selecting an email link opens your own email application; the message reaches us only when you choose to send it.

3. Where data comes from

We receive data directly from you, automatically from your use of the Services, from a circle administrator or another member acting within a shared community, and from service providers that support authentication, hosting, storage, communications, security, or other requested functionality.

4. How we use personal data

We use personal data to:

  • create accounts, verify identity, authenticate sessions, and protect the Services;
  • provide circles, events, bookings, live activity, conversations, polls, notifications, uploads, and shared-expense workflows;
  • personalize settings and keep information consistent across supported experiences;
  • respond to enquiries, support requests, and feedback;
  • monitor reliability, investigate errors, prevent abuse, and improve product performance;
  • comply with legal obligations, enforce our terms, and protect people, Astricx, and the public.

We process personal data where necessary to provide a requested service, with consent where required, for specified legitimate uses permitted by law, or to comply with legal obligations.

5. When data is shared

We do not sell personal data and do not use it for third-party behavioural advertising. We may share data in the following limited circumstances:

  • Within a community: profile, event, conversation, poll, sporting, and shared-expense information may be visible to members or administrators according to the feature and assigned role.
  • Service providers: providers may process data for cloud hosting, storage, communications, security, support, diagnostics, or other infrastructure. We remain responsible for selecting and overseeing providers as required by applicable law.
  • Legal and safety reasons: where reasonably necessary to comply with law, respond to valid legal process, protect rights or safety, or investigate misuse.
  • Business changes: in connection with a merger, acquisition, financing, reorganisation, or transfer of all or part of our business, subject to applicable safeguards.

Profile and community display images may be delivered through public content-delivery URLs so they can appear throughout the Services. Do not use a sensitive image as a profile or community image. Conversation attachments, expense receipts, and support attachments use access-controlled, time-limited download links.

6. Processing locations

Astricx is based in India. Our infrastructure and service providers may process data in other locations where they operate. When cross-border processing occurs, we use safeguards required by applicable law and do not transfer data to a location prohibited by law.

7. Retention

We retain personal data only for as long as reasonably necessary for the purposes described in this policy, including to provide an active account, maintain community records, meet security and legal requirements, resolve disputes, and enforce agreements. Retention periods vary by data type and context. Data may remain for a limited period in secure backups after deletion from active systems.

Where India’s intermediary registration-retention rule applies, registration information is retained for 180 days after cancellation or withdrawal of registration. Records retained to meet legal obligations are restricted to that purpose; a longer period applies only where another applicable obligation requires it.

8. Your choices and rights

Depending on applicable law, you may request information about our processing, access a summary of your personal data, correct inaccurate or incomplete data, request erasure, withdraw consent, or raise a grievance. You may also have the right to nominate another person to exercise certain rights on your behalf.

Some information can be updated within the Services. You can submit a privacy request or start account deletion in Zync under Profile → Settings → Privacy; the support team receives the ticket first and routes legal questions to the legal team. Use our account deletion page if you cannot access the app, or email legal@astricx.com with the subject “Privacy Request”. We may need to verify your identity and authority before completing a request. Certain shared or restricted records may be de-identified rather than deleted, or retained where required by law, security, dispute resolution, or the rights of others.

We acknowledge account-deletion requests within 24 hours. We act as quickly as possible and complete account closure and deletion or de-identification of eligible active personal data within 7 calendar days of receiving the request, after necessary identity and authority checks. We notify you when processing is complete and explain any records retained and the applicable retention period.

9. Security

We use administrative, technical, and organisational measures designed to protect personal data, including access controls, authentication safeguards, encryption where appropriate, monitoring, and secure infrastructure practices. No system is completely secure, so we cannot guarantee absolute security. Please protect your credentials and notify us if you suspect unauthorised account activity.

10. Children’s data

The first public release of Zync supports account login for users aged 13 and older. Zync applies country-specific rules for independent account registration. Users below the applicable independent-account age need approval from a parent or legal guardian through the family invitation process. Adults may manage family profiles for children below 13, but those profiles do not provide child login access in this release. The responsible adult must supervise participation and have authority to provide the child's information. We do not use children's data for behavioural advertising or tracking. If you believe a child's data was provided without proper authority, contact legal@astricx.com so we can restrict the account or profile and investigate.

11. Changes to this policy

We may update this policy as the Services, our practices, or legal requirements change. We will publish the updated version here and revise the “Last updated” date. Where a change materially affects your rights or how we use personal data, we will provide additional notice when required.

12. Contact and grievance requests

Use Profile → Settings → Privacy in Zync to create a tracked support ticket. Support handles intake and identity verification; the legal team handles escalated legal decisions. If you cannot access the app, email legal@astricx.com and use the subject “Privacy Request” or “Grievance Request”.
